Workspace Creation

Understand how workspaces allow for private collaboration in DeepEditor and how to set up a workspace for your team.

What is a Workspace?

A workspace (also referred to as a ‘tenant’) is the environment in DeepEditor under which projects, media, and users are organised. When you are granted access to DeepEditor, you are given access to your personal workspace.

Your personal workspace is where you manage:

  • All your personal DeepEditor projects
  • Your personal token balance

Shared Workspaces

DeepEditor supports shared multi-user workspaces, allowing team members to collaborate within the same environment in a secure, private way. This is particularly useful for productions where editors, assistant editors, post supervisors etc. all need access to the same project(s) and assets.

When working in a shared workspace:

  • All users in the workspace can access the same projects.
  • Tokens purchased while in the workspace are allocated to that workspace (rather than the user) and are available to all users and projects in that workspace – there is no per-user token allocation. Learn more about token types and pricing in Token Types and Pricing.
  • User roles (such as ‘Rights Clearance Manager’) can be assigned per project.

To create (and name) a shared workspace or to add a new user to your workspace, contact support@flawless.app, or speak to your Flawless account manager.


Moving Between Workspaces

  • In the DeepEditor Web App (Chrome)
    • Open the DeepEditor web app in Google Chrome

    • Click on your initials in the top-right corner of the DeepEditor interface

    • A list of all workspaces (tenants) associated with your account will appear

    • Select the workspace you wish to access.

  • In the DeepEditor Avid Extension
    • The DeepEditor Avid Extension automatically connects to the last workspace you signed into via the web app.

    • At this time, workspace switching is not supported directly within the Avid Extension.

    • To switch workspaces in the Avid Extension, log into the desired workspace in the web app, log out of the Avid Extension, then log back in again.


Best Practices

Avoid Multiple Users Refining the Same Vub

  • When sharing a workspace, only one user should access the Refinement Tool for a vub at a time.
  • If multiple users open the same vub simultaneously, only the first user’s work will be saved.
  • All unsaved changes from other users will be overwritten upon closing the tab.
  • To avoid data loss, coordinate with your team before editing the same shot.
